Thank you for using scimobi. Here we describe how we collect, use, and handle your personal data when you use our websites, software and services (“Services”).
We collect and use the following information to provide, improve, protect, and promote our Services:
Account information
We collect, and associate with your account, the information you provide to us when you do things such as sign up for your account, upgrade to a paid plan, and set up two-factor authentication (e.g. your name, email address, phone number, payment info, and physical address).
Cookies
scimobi uses 'cookies' for the site to function. Cookies are small text files. When you visit a website, the website sends cookies to your computer, and your computer stores them in a file in your web browser.
We use:
- anonymous tracking cookies (for usage statistics)
- session cookies (to allow secure user authentication)
We do not use:
- 3rd party tracking cookies
- retargeting or affiliate network cookies

Others working for and with scimobi
scimobi uses certain trusted third parties (for example, providers of customer support and IT services) for the business purposes of helping us provide, improve, protect, and promote our Services. These third parties will access your information to perform tasks on our behalf, and we will remain responsible for their handling of your information per our instructions.
Other team users
Our Services display information including your name, email address, and usage information to other users in teams which you are a member.
Business Team Admins
If you are a user of a scimobi host team, your administrator may have the ability to access and control your scimobi Business Team account. Please refer to your organisation’s internal policies if you have questions about this.
Law & Order and the Public Interest
We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to: (a) comply with any applicable law, regulation, legal process, or appropriate government request; (b) protect any person from death or serious bodily injury; (c) prevent fraud or abuse of scimobi or our users; (d) protect scimobi rights, property, safety, or interest; or (e) perform a task carried out in the public interest.

Security
We are dedicated to keeping your information secure and testing for vulnerabilities. We continue to work on features to keep your information safe in addition log in security, and encryption of files.
User Controls
You can access, amend, download, and delete your personal information by logging into your scimobi account and going to your account settings page: https://my.scimobi.com/dashboard.
Retention
When you sign up for an account with us, we will retain information you store on our Services for as long as your account exists or as long as we need it to provide you the Services. If you delete your account, we will initiate deletion of this information. But please note: (1) there may be some latency in deleting this information from our servers and back-up storage; and (2) we may retain this information if necessary to comply with our legal obligations, resolve disputes, or enforce our agreements.
There are variations in privacy depending on distinct user-bases within the scimobi system
Myscimobi user
This is the end-user, document viewing side of scimobi. Documents may be viewed without registration, but with limited functionality for sharing, saving and receiving updates or related material. Registration is required for full access which requires your name and email address for authentication and notifications. All other information related to your account is voluntary.
When you scan a QR code, view or share a document, an amount of information will be shared with the document host (scimobi host user).
This will not include: your name, email address or any directly identifying information.
This will include: number of scans/clicks/shares; approximate location of where a file is scanned from; your professional qualifications, specialism, country of operation (i.e., the voluntary information marked on your account page). You can control the information that you provide via your account management page.
Contact between users and host
If a myscimobi users sends a message via the ‘contact host’ link, this will be forwarded automatically to the registered email address of the host admin, who will receive the users email address to facilitate a reply independently the scimobi service. Response is purely at the discretion of the recipient.
Notifications
When you switch on ‘notifications’ to receive updates or related files, this request is processed and messages sent via scimobi services, the host does not directly receive your name or email address.
By selecting ‘notifications on’ on a specific document, you are agreeing to receive links to related files as deemed relevant or of interest by the originator of the original file (the host).
scimobi is not responsible for the relevance of these links. You can turn off notifications on each individual link.
scimobi Host
This is the paid subscription part of scimobi, where subscribers can host and upload documents, work within internal teams and manage their account.
Account information. We collect, and associate with your account, the information you provide to us when you sign up for your account, upgrade to a paid plan (e.g. your name, email address, phone number, payment info, and physical address), and the individual email addresses allocated to licences ‘seats’ within a multi-seat account.
Each individual that you invite to join a licensed account must register their own user account linked to their email address, so that they can set their own access and passwords independently of the paid account.
Admin users
You may set any of your team members to have admin rights. This will allow them to add and remove users, amend licenses and billing details.
It is the responsibility of the users to manage access of team members/individuals to their account.
Billing and financial details
scimobi use a trusted and secure third-party payment service (STRIPE) and we do not directly hold, store, or have access to your payment details.
Messages from users
scimobi allows end users to send messages to file hosts via the ‘contact host’ link on the document page. This message will be routed to the email address of the primary account holder.
They will receive the message and sender’s email address, via a forwarded message from scimobi email. There is no facility to reply directly through the scimobi system - it is at their own discretion to reply appropriately via their own email.
